ILLUSTRATIVE DUTIES:

• Develops complex data base programs that expedite the compiling of competition results, exams, budgets, enrollment and the status of special projects.
• Manages financial affairs to include the JROTC budgets, 24 Army and Navy reimbursable accounts, the JROTC Activity Account, regional drill meet fee funds, the collection and disbursement of funds for supporting the annual banquet and summer camp, cadet insurance payments, banking and initializing of requisitions using SAP and PROCARD for ordering merchandise.
• Perform payroll through PeopleSoft
• Serves as departmental liaison with vendors and school district purchasing agencies. Prepares financial and regulatory reports according to district and state guidelines
• Perform other job-related duties as assigned.

POSITION REQUIREMENTS:

• This position is unique in the school district, as it requires the incumbent to transcend traditional senior secretary requirements, and assume financial responsibilities in addition. The administrative workload and associated responsibilities of this position have expanded with the recent phenomenal growth of the department workload and reduction of staff members. Because of the concomitant increase in external and internal customer service requirements, and a 20 percent cut in staff personnel the incumbent is called on to work at a higher level of competency. The incumbent similarly is responsible for playing key roles in a number of activities requiring expertise in the functions of planning organizing, directing, and coordinating with others to insure department success. The uniqueness of this position is driven by the dynamic functioning, of the department which operates in many respects as a small school district. In supporting 80 employees of the department, and their programs at the schools, the incumbent must not only serve as assistant to an executive level administrator, but must assume singular responsibility for activities involving personnel, finance, operations, logistics, contracts, and liaison with school district and external Army, Navy and Air Force entities. The incumbent must be able to use SAP, and PROCARD effectively when ordering merchandise for the department and PeopleSoft is a must for imputing payroll and stipends for 75 instructors from the high school and middle schools.

EDUCATION:
• Must be a high school graduate. Some College/Associate Degree preferred

EXPERIENCE:
• Accounting experience in an education environment; typing 80+ WPM, various computer applications experience including HP Scanner, HP Laptop, 10 key calculator proficiency, managerial, supervisory, and secretarial experience in an education environment. The individual must be able to use OneSource, SAP, PROCARD for ordering merchandise and PeopleSoft for inputting payroll.

OTHER REQUIREMENTS:

• Oversees the coordination, scheduling, housing, and transportation requirements for district/outer district cadets participating in summer camp, and Bluebonnet competition, which is composed of over 500 students. Serves as action officer for the hiring of temporary support police, custodians, bus attendants and clerical personnel. Supervises the data center personnel supporting to endure accurate scoring for over 100 competing teams at 4 events.
